What are Clinics
Clinics are similar to Teams, but allow for group billing. These are ideal for practices or clinics to standardise clinic record keeping, speed up note writing and reduce staff burnout.
They are a collaborative space to share templates, helpful information and get inspired by other peoples templates to improve collective clinical record keeping!
All clinic members can view, use and copy share templates but only the template owner can edit it.
Group billing give you a discounted price for multiple group members. The discounted rate is applied to all users after the 3rd one (see our pricing page).
Creating a Clinic
Start by navigating to the Clinic section in your dashboard, by clicking on the Clinic icon in the sidebar

Click on the 'New' button in the top left corner to create a new team

Complete the form and add your initial members
Each clinic requires a minimum of 3 users.
Please ensure you have the users permission before adding them to your clinic group
Subscribe to plan to make your clinic active
Choose the plan that you want to start using your clinic group
Clinic billing
Clinics are billed per user, but receive a discounted amount as part of the group billing. See our pricing page for more information
Our system automatically handles day-to-day proration, so you only pay for the period each user is active
At the beginning of the billing cycle, you pay for all member.
If you add a member mid-cycle, you will be billed for the remaining period
E.g. 50% of the rate if added half way.
This will be billed and invoiced for immediately when the member has been added.
If you remove a member, you will receive a credit for the unused time, which will be applied to your next invoice
When cancelling a clinic subscription the plan will end at the end of the current billing period. This means you will still have access to Clerkal until this point.

Adding or removing member
If your Clinic has an active plan, adding or removing members may result in a charge being billed or a refund being issued that will be applied to your next invoice.
How to add a user
To add or remove members from a clinic, click on your clinic in the sidebar

Once in the Clinics information page, click on the 'Members' tab to view the clinic members

Here you will see a list of members in the clinic. Click on the 'Manage Members' button on the right side of the screen

Provide the users name and email address to add them to your clinic
You can add multiple members at a time
If the member does not have an active Clerkal account already , a new account will be created for them and they will be emailed a temporary password to log in.
Please ensure you have the members permission to add them to your clinic
If your clinic currently has an active subscription, you will also be shown at the bottom of the form:
Your current monthly billing amount
Your new monthly billing amount with the new members added
Any amount that will be billable today for the change
This amount may not reflect any existing discounts already applied, or unused credits
Removing members
To remove a member from your clinic, simply follow the same steps as adding a member above, but instead of adding a member, remove them by clicking the red 'X' next to their name:

If your clinic has an active subscription you will also be shown:
Your current monthly billing amount
The new monthly billing amount from removing the member
Any refund due that will be applied to your next invoice
Clinic templates
Users can view shared templates, and use them like their own. They are displayed under the Clinic in the sidebar. Shared templates are grouped into the folders.
You can preview templates shared by other members or copy it to your personal template section for you to edit. To do this, simply click on the 'Copy' button in the top right corner of the Template
